How to transfer files created in the app to and from your computer using the Files app, iTunes, or the Finder.

Solution

There are several files that one can access and transfer to one's computer from the Procedure Log app's Documents folder (#1 is present if you previously created a backup when creating the reports; #4 and 5 are present if you have previously created the reports from within the app; #6 is present only if you have any photos associated with any of the logged records, and #7 is present only if you have supervisors' signatures associated with any of the logged records):

  1. Backup.zip (a Zip file containing all of the files noted below)
  2. ProcedureLogDB.zip (the database containing all your records and other data)
  3. BackupDB (a folder containing a backup of the database [ProcedureLogDB.zip] file)
  4. Procedure-Log.pdf (the pdf report)
  5. Procedure-Log.zip (which contains the csv file)
  6. Photos folder
  7. Signature Images folder

The Procedure-Log.pdf and Procedure-Log.zip files are encrypted and password-protected using the Reports password (the password you created and entered in the Create Reports view). The ProcedureLogDB.zip file and the contents of the Photos and Signature Images folders are all encrypted and password-protected using the App's Login password. One must use either Keka (for Mac) or 7-Zip (for Windows) to be able to unzip these files, since the default unzip utilities in macOS and Windows are not able to unzip encrypted files. As of version 4.0 of the app, the Backup.zip file is not password protected, only its contents are. (Prior to version 4.0, the Backup.zip file was password protected using the Reports password.)

To transfer the files to and from one's computer, one can use either the iPhone's Files app, iTunes, or the Finder (if using macOS Catalina or newer) as discussed below. When transferring files from your computer to the iPhone, one should transfer the files that are in the Backup folder rather than transferring the Backup folder itself, otherwise, the app won't recognize where the files are located.

There are several ways to transfer a file using the Files app. See also Apple's support page for more about the Files app.

Transfer files from your iPhone to your computer:

  • Find and open the Files app on your iPhone.
  • Tap on the Browse button at the bottom right if not already in the Browse view.
  • Navigate to On My iPhone > Procedure Log.
  • Tap and hold on the file you want to transfer to your computer until the pop-up menu appears.
  • At this point, one can tap on either Share or Move:
    • Tap on Share (you may have to scroll the pop-up menu up to see the Share option)
      • If you have a Mac and are on the same Wi-Fi network, you can send the file to your Mac by using AirDrop (your Mac should show up as an option), or
      • email the file to yourself by selecting Mail, or
      • if you have a Dropbox, OneDrive, or other file sharing service account, select that service from the options that are shown.
    • Tap on Move
      • navigate to either your iCloud Drive, Dropbox, OneDrive, or other file sharing service that is accessible from the Files app,
      • tap the Copy button at the top right.

Transfer files from your computer to the Procedure Log app on your iPhone:

Note: when using the Files app, a number is sometimes added to the end of the file name being transferred in; e.g., ProcedureLogDB-1.zip. This generally occurs after the file has already been present in the Procedure Log app. If this occurs, tap on the file name and select "Rename" from the pop-up menu, then delete the hyphen and number that were added, otherwise, the Procedure Log app will not recognize the file. 

    Method 1: If you have a Mac, you can use AirDrop.

  • On your Mac, right click (control-click) on the file that you want to transfer and select Share > AirDrop.
  • In the AirDrop window that is presented, select your iPhone.
  • When the file is received by your iPhone, select "Files."
  • In the Files app, tap the Browse button on the bottom right (if not already in the Browse view), then select On My iPhone > Procedure Log, then tap the Save button at the top right.

    Method 2: Email the file.

  • From your computer, email the file(s) that you want to transfer as an attachment to yourself.
  • Open the email on your iPhone.
  • Tap and hold on the attached file until the pop-up menu appears and select "Share."
  • In the share options window, scroll down and select "Save to Files."
  • Navigate to On My iPhone > Procedure Log, then tap the Save button at the top right.

    Method 3: Transfer from iCloud Drive, Dropbox, OneDrive, or other file hosting service.

  • Save the file(s) that you want to transfer to your iCloud Drive, Dropbox, OneDrive, or other file hosting service accessible from the Files app.
  • On your iPhone, open the Files app, go to the file sharing service that has the file(s), and find the file(s).
  • For each file being transferred, tap and hold on the file until the pop-up menu shows, then select "Move."
  • Navigate to On My iPhone > Procedure Log, then tap the Copy button at the top right.

One can use iTunes to transfer files to and from your Windows PC (using Windows 7 or later) with iTunes installed or from your Mac using macOS 10.14 (Mojave) or earlier. See also Apple's support page for more about using iTunes for file sharing between your computer and iOS device.

  • Open iTunes on your Mac or PC.
  • Connect your iPhone to your computer using a USB cable.
  • Click your device in iTunes.
  • In the left sidebar, click File Sharing.
  • Select Procedure Log from the list of apps in the File Sharing section.
  • To transfer files from your computer to the Procedure Log app on your iPhone:
    • Drag and drop the file(s) from the folder or window where they are located on your computer onto the Procedure Log Documents list in iTunes to copy them to your device. You can also click Add in the Documents list in iTunes, find the file(s) on your computer, and then click Add. iTunes copies the file(s) to the app on your device.
  • To transfer files from your your iPhone to your computer :
    • Drag and drop the file(s) from the Documents list in iTunes to a folder or window on your computer to copy them to your computer. You can also select the file or files that you want to copy to your computer from the Documents list and click "Save" then find the folder on your computer to which you want to copy the files and click Save.

If you have a Mac using macOS 10.15 (Catalina), you can use the Finder to transfer files to your iPhone. See also Apple's support page for more about using the Finder to share files between you Mac and your iOS device.

  • Open a Finder window.
  • Connect your iPhone to your computer using a USB cable.
  • Select your iPhone in left sidebar of the Finder, under Locations.
  • Click the Files tab to see a list of apps that can share files.
  • Click the triangle next to Procedure Log to see the files in its Documents folder that can be shared.
  • To transfer files from your iPhone to your computer:
    • Select the file(s) that you want to copy.
    • Drag the file(s) to a folder on your computer. The Finder copies the file(s) to your computer.
  • To transfer files from your computer to the Procedure Log app on your iPhone:
    • Select the file(s) that you want to copy onto the app from where they are located on your computer.
    • Drag the file(s) to the app on your iPhone. The Finder copies the file(s) to your iPhone.
